Configure working hours and linked scheduling

Set working days, staff availability, and template gaps for job scheduling.

Configure linked scheduling

These settings are available to admins and control how Neptune calculates linked task dates.

Set the organisation working week

  1. Open Admin > Organisation > Scheduling.
  2. Turn each working day on or off.
  3. Set the start and end time for each working day.
  4. Click Save scheduling settings.

These hours are for jobs and the planner. Sequence follow-up uses a separate send window. See Sequence quiet hours.

Set public holidays and closure days

Admins choose the organisation’s holiday region, exclude holidays that do not apply, and add business closure days under Admin > Organisation > Scheduling. See Set the working week, public holidays, and closures for the complete setup steps.

Public holidays include both actual and substitute dates. Holiday and closure dates:

  • appear in the date’s column header with a shaded column in Week view;
  • appear as All staff, all day labels with a shaded grid in Day view;
  • appear as read-only holiday events in Month view;
  • are skipped by job templates that use working days; and
  • do not prevent you from booking work manually.

The calendar applies to everyone in the organisation. It does not support exceptions for individual users. Changing it does not move existing tasks or blockouts.

Override one user’s availability

  1. Open Admin > Users and select the user.
  2. Under Scheduling availability, turn on Use a custom schedule for this user.
  3. Select the user’s working days and hours.
  4. Save the user.

Turn the override off when the user should return to the organisation schedule.

Configure template gaps

  1. Open Admin > Job Settings.
  2. Create or edit a Task Template.
  3. Set Gap after task and choose minutes, hours, or days.
  4. For a day-based gap, choose Working days or Elapsed days.
  5. Save the template.

Working days skip unavailable weekdays and configured holidays. Elapsed days count calendar days. A Job Template can override the gap for an individual step and can use Business days only to keep generated tasks on working days.

See Job Settings for more information about Task Templates and Job Templates.
