Custom Enquiry Form

You can add a Neptune-powered enquiry form directly to your website. Enquiries from this form automatically appear in Neptune with all the information you need to follow up.


Set up your enquiry form in Neptune

  1. In Neptune, go to Admin → Forms
  2. Open your Enquiry form (this is created for you automatically)
  3. Configure:
    • Form name & subtitle – what appears at the top of the form
    • Questions:
      • Standard fields are already configured - (Name, Email, Phone, Address, Enquiry)
      • You can add extra questions (text, dropdowns, multiple choice, checkboxes, dates)
    • Privacy Policy URL – a link to the privacy section on your website
    • Submit button colour (enquiry forms only, eligible plans) – optionally match the submit button to your brand colour

For US organisations, a Privacy Policy URL is required so we can register your messaging profile for SMS.

Click Save when you’re happy with the form.


Embed the form on your website

  1. With the enquiry form open, scroll to the Embed code section
  2. Click Copy embed code
  3. Paste the script into your website where you want the form to appear (e.g. on a Contact Us page)

Once this script is on your site, the form will load automatically in that spot.


What your customers see

Visitors to your site will see:

  • Your form title and subtitle
  • Standard fields for Name, Email, Phone, Address, Enquiry
  • Any extra questions you’ve added (dropdowns, multiple choice, etc.)
  • A consent and privacy notice explaining how you’ll use their details and SMS, with a link to your Privacy Policy
  • A “Powered by NeptuneCRM” badge at the bottom

The form is responsive and designed to fit cleanly into your page.


How enquiries appear in Neptune

When someone submits the form:

  • A new Enquiry is created in Neptune with:
    • Contact details (name, email, phone, address)
    • Their enquiry message
    • Any extra questions and answers, stored in the enquiry’s comment
    • A source of “Enquiry Form”
  • If you’ve configured auto-replies for your organisation:
    • Neptune can send an automatic email and/or SMS reply confirming you received the enquiry
  • From the Enquiry screen, you can:
    • View all details
    • Convert the enquiry into a customer and attach it to jobs or projects
    • Delete the enquiry if it’s not a valid enquiry (i.e. junk)

SMS and privacy requirements (US only)

For US-based organisations:

  • Carriers require that leads can see how their data and SMS will be used
  • Neptune therefore requires a Privacy Policy URL on your enquiry form before we can register and enable messaging
  • The enquiry form automatically includes the correct consent language next to the submit button

Outside the US, adding a Privacy Policy URL is strongly recommended but not required.
