How Neptune works

Frequently asked questions

Everything you need to know before putting Neptune to work in your pool business.

Getting started

What is Neptune?

Neptune is the platform built by a pool builder, for pool builders. It brings your leads, proposals, contracts, construction scheduling and customer communication into one place, so you spend less time on admin and more time building pools.

Who built Neptune, and why does that matter?

Neptune was created by a pool builder with more than 20 years on the tools, managing leads, writing proposals, coordinating contractors and keeping builds on track. Rather than a generic system bent to fit, Neptune is built around the way a pool business genuinely runs.

How is Neptune different from a generic CRM like HubSpot or Salesforce?

General CRMs are built for every kind of business, so making them fit a pool builder usually means a lot of setup and workarounds. Neptune already understands pool selection and pricing, proposals and variations, contracts with digital signatures, and construction scheduling for your trades.

Pricing and commitment

How much does Neptune cost?

Neptune comes in three plans to suit different stages of business, with simple monthly pricing and no setup or implementation fees. You can see what is included on our Plans page, or book a free demo and we will recommend the right fit for your business.

Is there a free trial?

Yes. You can start Neptune with a 14-day free trial. When you create your account, you will enter your card details and your first payment is taken after the trial ends.

Is there a lock-in contract?

No. Neptune is month-to-month with 30 days' notice, and you can upgrade, downgrade or cancel as your business needs change.

Will I be charged extra for each feature or user?

Everything included in your plan is included, with no surprise per-feature bills. If you need more team members or contractor access than your plan includes, additional seats are available as straightforward add-ons.

Onboarding and switching

How long does it take to get set up?

Most builders are working in Neptune in about a week, with active input from their team. Neptune is designed to get you working quickly, with personal onboarding that continues until you are fully operational.

I am still using spreadsheets, whiteboards and paper. Is switching a big job?

It is more manageable than most builders expect, and it is exactly the situation Neptune was built for. We help you move your existing customer information across and get your team comfortable with the platform.

Do you help move my existing customer data across?

Yes. We will help bring your current customer and lead information across as part of onboarding, so you start with everything in one place rather than rebuilding it from scratch.

What training and support is included?

Every plan includes personal, one-on-one onboarding and ongoing support. We stay with you until you are fully up and running, and our support does not stop once you are live.

Fit for your business

Is Neptune right for fibreglass or concrete pool builders?

Both. Neptune suits fibreglass builders managing volume and standardised proposals, and concrete builders juggling longer timelines, variations and trade coordination. It works for independent operators through to high-volume teams.

I am a smaller operator. Is Neptune overkill for me?

Not at all. The Essential plan is designed for growing businesses that simply want their leads and customers organised in one place, without the bigger feature set. You can always move up as you grow.

Can I use Neptune on site and on my phone?

Yes. Neptune works on mobile, and contractors can use the app to see assigned jobs, complete your custom forms, and upload photos and notes straight from site. Your office and crew stay on the same page.

Features and security

How does Neptune handle incoming enquiries?

Forward your email enquiries to your Neptune address and they are captured automatically as new enquiries. From there you can convert an enquiry into a customer record, where every message, document and proposal lives in one place, so nothing gets missed.

Can I create proposals and contracts in Neptune?

Yes. Choose a pool as the starting point, then build the proposal with options like colour, pumps, fencing and landscaping. Send it through the customer portal, and once it is accepted, turn it straight into a contract with an integrated digital signature.

Does Neptune handle construction scheduling and contractors?

On the Premium plan, yes. The Gantt-style planner lets you schedule the weeks ahead, and contractors get mobile access with push notifications so they always know what is on and you can see how each job is tracking.

Can I automate follow-up with Neptune?

Yes. Sequences let you set up timed email, SMS and internal reminder steps for leads and customers. You can automatically enrol new leads, and when Stop on reply is enabled, Neptune pauses the follow-up as soon as someone responds so your team can take over.

Does Neptune work with uDrew?

Yes. Neptune integrates with uDrew, so a pool your customer has visualised on their own property flows straight into a proposal and contract, with no double handling.

Is my data secure?

Yes. Your customer data is protected and kept isolated, so your business information stays private and secure.
