Organisation Settings

Update your organisation details, branding, tax, costs, and scheduling settings in Neptune.

On this page

Use Admin → Organisation to manage details and defaults shared across your Neptune account.

You need administrator access. If Organisation is missing from Admin, ask a Neptune administrator in your business to make the change.

Update organisation details

  1. Open Admin → Organisation.
  2. On General, update the organisation name, address, phone number, web address, licence or registration number, business number, and bank details as required. Labels such as the business number and bank code depend on your organisation’s country.
  3. Select a suggested address so Neptune can save its map location. This location is also used for location-based settings such as sequence quiet hours.
  4. Click Save Changes.

Neptune shows Organisation updated successfully after saving. If the update fails, check the required fields and try again.

The General tab also contains Google reviews. Paste the direct review URL and click Save changes. See Google Reviews for how that link is used in messages.

Some organisations also see Supply business details. These fields let eligible document types use a separate business name, address, business number, phone number, and bank account. If the section is not shown and you need separate supply details, contact Neptune support.

Set branding and logos

  1. Select Branding & Uploads.
  2. Under Brand, choose the Primary brand colour. Use a colour that remains readable with white text.
  3. Click Save changes.
  4. Under Logo, click Upload and choose an image.

The brand colour is used when proposals are presented to customers. The organisation logo is available to branded emails and other customer-facing documents. Logo-size controls for email headers and footers may also appear here; see Email Signatures.

Set tax and currency defaults

  1. Select Tax & Currency.
  2. Choose Tax type name: GST, VAT, or Tax.
  3. Enter the Tax rate between 0 and 100.
  4. Choose whether the Tax display is Inclusive or Exclusive.
  5. Enter the Currency symbol.
  6. Click Save changes.

These settings become the defaults used for calculations and new invoices. An invoice keeps the tax and currency values captured when it was created, so changing the defaults does not rewrite existing invoices. Review the totals before sending documents to customers.

Set organisation costs

Select Costs, enter the values that apply to your business, and click Save Changes:

  • System cost is an internal proposal cost and is not shown to the customer.
  • System levy is included in the proposal price and can recover the cost of using Neptune.
  • Pool freight is included in the pool shell sale price for delivery to your business.
  • Pool delivery is included in the pool shell sale price for delivery to the customer.

Use the information icon beside each field to confirm how it affects proposal pricing.

Set the working week, public holidays, and closures

  1. Select Scheduling.
  2. Under Organisation working week, set the normal available hours for each day.
  3. Under Public holidays & closure days, select the State / region that applies. Leave it blank to use national holidays only. Select a Local area when one is available, such as Timaru District in New Zealand.
  4. Click Save scheduling settings.

Neptune keeps the current year and the next two years of public holidays up to date for organisations in Australia, New Zealand, the United Kingdom, and the United States. The list includes actual holiday dates and substitute dates. It refreshes each day and when the organisation’s country, state, region, local area, or exclusions change.

The holiday list shows 15 entries per page. A source label identifies each entry:

  • Synced entries are kept up to date and cannot be edited directly.
  • Manual entries are closure days managed by your organisation.
  • Legacy seed entries were added with the previous holiday setup and remain read-only.

To add a business closure, click Add closure day, enter its date and name in the new row, then save. Neptune opens the page containing the new row when the list spans several pages.

To remove a synced or legacy holiday, use its remove button. This excludes every synced holiday on that date but leaves a manual closure on the same date in place. The date then appears under Excluded public-holiday dates. To restore it, close its exclusion tag and click Save scheduling settings.

Saving updates the settings and waits for the holiday refresh, then displays the latest entries automatically. You can also click Refresh list to reload the calendar. Unsaved changes to manual closures are retained when you refresh the list.

The organisation working week is used when a user does not have a personal schedule override. Public holidays and closure days apply to all staff, with no per-user exceptions. They appear in the Planner and are skipped by job templates that use working days. They do not move existing tasks or prevent manual bookings. See Planner for Planner display and scheduling behaviour.

Troubleshooting

  • If Organisation is not available, check that you are signed in as an administrator.
  • If an address-dependent feature uses the wrong location, return to General and choose the address from the suggestions before saving.
  • If a save fails, keep the page open, correct any highlighted field, and try again. Contact Neptune support if the same error continues.
  • Settings and sections can vary by organisation and enabled features. If this guide describes a control you cannot see, contact Neptune support to confirm availability.
