Use Admin → Subscription to review the organisation’s current plan, seats, add-ons, discounts, and billing status. Access depends on your role; ask an administrator if the page is not available to you.
Plan names, inclusions, prices, currencies, taxes, and available add-ons are loaded for your organisation. Check the values shown in Neptune rather than relying on an old quote or this guide for pricing.
Review the current subscription
- Open Admin → Subscription.
- Review Current Plan, including the displayed monthly amount and any base-plan, add-on, or discount breakdown.
- Check the total user seats and contractor seats, when shown.
- Review Included in [plan] Plan and Active Add-ons.
For how active users consume seats, see Managing Users.
If Neptune shows Payment overdue, the subscription remains active for the moment, but billing action is required. Click Manage Billing and follow the instructions in the billing portal.
Open the billing portal
- On Admin → Subscription, click Manage Billing.
- Neptune opens the billing portal for the organisation.
- Review the billing actions available there and follow the confirmation steps shown by the portal.
The billing portal controls which changes are available for the current subscription. Do not assume that every plan, cancellation, payment, or invoice change can be completed as a self-service action. If the action you need is not offered, email info@neptunecrm.com.
If Neptune shows Failed to open billing portal, try again. Contact support if the error continues.
Add seats or modules
Current plans may show Add Seats or Modules:
- Click Add Seats or Modules.
- Enter the quantity for any additional seats and select any available module.
- Review the displayed monthly total.
- Click Add Selected Items.
Neptune shows Add-ons added successfully! and refreshes the subscription details. The charge and tax treatment shown in Neptune apply to the purchase. If an expected seat or module is not listed, contact Neptune support to confirm whether it is available for your plan.
Legacy subscriptions show Upgrade to Our New Plans instead. Click View & Upgrade Plans to compare the currently available plans, or Manage Billing for the actions available to the existing subscription. Legacy and current subscriptions have different controls, so use the buttons shown on your page.
Choose or change a plan
The Plans & Pricing page lists the plans and add-ons currently available for your organisation.
- Open View & Upgrade Plans, Go to Plans, or Choose a plan, depending on the message shown.
- Review the displayed plan price, tax treatment, billing interval, and included features.
- Click Select Plan on the plan you want.
- Confirm the prompt and complete checkout.
When an existing subscription can be managed through the billing portal, selecting a plan can open that portal instead. A new eligible subscription may show a 14-day trial message before checkout. Follow the wording shown for your organisation.
Restore access when an account is disabled
If subscription access has ended, Neptune can show Account Disabled or Subscription Required.
- Click Choose a plan and complete the plan selection, or click Open billing portal if that option is shown.
- Complete any outstanding payment or subscription action.
- Return to Neptune and sign in again if required.
If the organisation remains disabled, email support@neptunecrm.com. Include the organisation name shown in the warning. Non-admin users should ask their administrator to handle the subscription.
Troubleshooting
- No active subscription: Click Go to Plans. Neptune requires an active or trialing subscription for normal access.
- Payment overdue: Click Manage Billing before access is lost.
- No billing-portal button: It can be unavailable when the organisation has no billing customer record. Use Choose a plan or contact support.
- Cannot add a user: Check seat usage on Managing Users, then add a seat if your Subscription page offers that control.
- Expected plan or add-on is missing: Availability varies. Contact Neptune support rather than selecting a substitute.
