Getting Started

Complete Neptune onboarding and prepare your organisation for daily work

On this page

Use Onboarding to add the organisation details Neptune needs for emails, proposals, contracts, and pricing. Each finished task shows a green check mark.

Open Onboarding

  1. Sign in to the Neptune web app.
  2. Select Onboarding in the side navigation.
  3. Open one task at a time and complete the fields or review shown.

Complete the onboarding tasks

Work through these tasks:

  1. Logo — Select a JPG or PNG file smaller than 2 MB. Neptune uses the logo in customer emails and, depending on your plan, in proposals, contracts, and the customer-facing Gateway. A successful upload completes the task.
  2. Company Details — Enter the organisation address. Add the phone number, website, business number, and licence number when applicable, then click Save. The logo and Company Details tasks must both be complete before your team can send its first email from Neptune.
  3. Bank Details — Enter the Bank account name, bank code, and account number. Bank is optional. Click Save. Neptune places these payment details in contracts.
  4. Enquiries — Copy the forwarding address shown in Neptune. Forward enquiry emails to it manually or create an automatic forwarding rule in your email service. Click Mark as complete when the rule is ready. Each forwarded email creates a lead.
  5. Numbers — Review System cost, System levy, Pool freight, and Pool delivery, then click Save. These values affect proposal costs and prices. Hover over the question mark beside a field for its definition.
  6. Products & Pools — Set up product categories and products, and add the pools your team sells. Follow the buttons in the task to open the relevant setup pages. Return to Onboarding and click Mark as complete when the catalogue is ready. See Products & pricing.
  7. Contract Templates — Click Review Contract Templates. Neptune marks the task complete and opens Contract templates. Open every section, check the supplied wording, and edit it for your business. Changes save automatically. See Contract document types for controlling which contract documents are available.

Check the result

Return to Onboarding after working elsewhere. A green check mark beside a task means Neptune recorded it as complete. You can reopen completed tasks to review or update their values.

Troubleshooting

  • If a Company Details form will not save, select a complete address from the address suggestions.
  • If Bank Details will not save, check that the account name, bank code, and account number are filled in.
  • If a logo will not upload, use a JPG or PNG smaller than 2 MB.
  • If an enquiry does not create a lead, confirm that the message was forwarded to the exact address shown in Enquiries. Ask the person who manages your email service to check the forwarding rule.
  • If you cannot open a linked setup page, ask an administrator to check your role and product access.

Check your first customer workflow

Create a test customer using contact details your team controls. Confirm the addresses and primary contact, then send a test email from the record’s email tools. Check the sender, logo, signature, and received message before sending to a real customer. See Customers and Sending Emails for the steps.
