Email Signatures

Neptune CRM Location: Profile -> Email signature

Your email signature can use the standard Neptune design or a custom design of your own. Custom signatures support formatted text, links, dynamic details, and images, including image-only signatures.

Your signature is added when Include sender signature is turned on for an email or email template.


Open your email signature settings

  1. Click your profile button in the top navigation.
  2. Scroll to the Email signature section.
  3. Choose Neptune signature or Custom signature.

The Neptune signature uses the name, job title, email address, and phone number saved in your profile, together with your organisation details.


Set organisation logo sizes

Neptune CRM Location: Admin -> Organisation -> Branding & Uploads

Administrators can choose how large the organisation logo appears in emails:

  • Email header controls the logo in the Branded email design.
  • Email footer controls the logo in the standard Neptune signature.

To change the sizes:

  1. Open Admin and choose Organisation.
  2. Open Branding & Uploads.
  3. In the Logo section, choose Small, Medium, or Large for the email header and footer.
  4. Check the header and footer previews.
  5. Click Save email logo sizes.

The selected sizes apply across the organisation. The footer setting does not resize images in custom signatures. To change a custom signature image, edit that signature and choose its maximum width when adding the image.


Create a custom signature

  1. Choose Custom signature.
  2. Add and format your content in the editor. Text and images appear in the order shown in the editor.
  3. Check the Live preview.
  4. Click Save signature.

You can use the toolbar to:

  • make text bold, italic, or underlined
  • change text size and colour
  • align content to the left, centre, or right
  • add links
  • insert dynamic details
  • add images

Email apps can display signatures slightly differently. Use the live preview as a guide, then send a test email to check the delivered result.


Add dynamic details

Use Dynamic field to insert details that stay connected to your profile or organisation settings. Available details include:

  • sender name
  • job title
  • email address
  • phone number
  • organisation name
  • organisation website

If a dynamic detail is blank, update the corresponding profile or organisation setting.


  1. Select the text you want to link.
  2. Click the link button in the toolbar.
  3. Enter a website, email, or phone link, or choose Use dynamic link.
  4. Click Add link.

Dynamic link choices can open a new email addressed to you, call your saved phone number, or open your organisation website. This avoids manually entering profile details into the link.

To remove a link, place the cursor in the linked text and click the link button again.


Add an image

  1. Click Image in the toolbar.
  2. Upload a PNG, JPEG, or GIF image. If your organisation has a logo, you can choose Organisation logo instead.
  3. Enter alternative text that describes the image.
  4. Optionally add a link.
  5. Choose the maximum width and alignment.
  6. Click Add image.

You can use one large image as the whole signature, or combine images with text and dynamic details. Keep important contact information in the image’s alternative text or add it as text nearby so the signature remains useful when an email app blocks images.


Send a test email

Click Send test email to send the current signature preview to the email address saved in your profile. You do not need to save first, so you can check a draft before making it active.

The test email helps you confirm:

  • image size and alignment
  • text formatting
  • links and dynamic details
  • how the signature looks in your email app

Return to the Neptune signature

Choose Neptune signature, then click Save signature. Neptune keeps your custom signature so you can switch back to it later without rebuilding it.


Use your signature in emails

Your selected signature is used wherever Neptune includes the sender signature, including supported customer emails, email templates, and sequence emails.

When previewing an email, check that Include sender signature is turned on. A template can set the default, and you can change it for an individual email before sending. See Email templates for template setup instructions.
