Create repeating blockouts

Use a repeating blockout when one or more staff members are unavailable on a regular weekly schedule. Repeats can be created from the web Planner when you create a new blockout. The mobile app does not offer repeat creation.

  1. Click an available space in the Planner and choose Blockout from Type.
  2. Select the staff members and set the first blockout’s date and time. Turn All day on when appropriate.
  3. Select Repeat this blockout.
  4. Under Repeat every, enter the number of weeks between blockouts.
  5. Choose whether the repeat ends after a number of occurrences or on a Last occurrence date. The last occurrence date is inclusive.
  6. Review the occurrence and task total, then click Save.

A repeat can contain up to 52 occurrences. When you end it by number, enter between 2 and 52 occurrences. A date-ended repeat may contain only the first blockout when the last occurrence date is the same date. One blockout is created for every selected staff member on every occurrence, with a maximum of 500 tasks in one save.

Timed repeats keep the selected time in the organisation’s local time after the first blockout. Your organisation needs a saved map location before you can create one. An admin can select the organisation address under Organisation Settings. All-day repeats follow the dates shown in the Planner and do not need a map location.

After saving, each blockout can be edited or deleted independently. Changing one does not update the other occurrences. Repeating blockouts do not send notifications, and existing blockouts remain unchanged.
