- Open the saved proposal summary and click Send Proposal.
- Choose recipients in To, check the Subject, and write the email Body. Add CC recipients, brochures, or uploads if needed.
- Review the email and the full PDF preview on the right.
- Click Send Now.
- The customer receives an email with a link to view the proposal. Use the success window to return to the customer page.

Left Panel - Email Composition:
- To: Select recipient(s) from customer contacts
- CC: Add additional email addresses (comma separated)
- BCC Consultant: Option to copy the assigned consultant
- Subject: Pre-filled with proposal number and organization name (editable)
- Body: Rich text editor for your email message
- Apply Template: Use saved email templates to quickly populate subject, body, and brochures
- Brochures: Attach organizational brochures (grouped by category)
- Uploads: Attach files previously uploaded to this customer
Right Panel - PDF Preview:
- Live preview of the proposal PDF as it will appear to the customer
- Shows all sections, products, and pricing
- Scrollable to review the entire document
Note: You can also send a saved proposal later by navigating to Sales Docs → Proposals, finding your proposal, and clicking Send.
Client portal access
The proposal review button opens the proposal inside the portal after the client signs in. Keep that button in your message; Neptune asks you to add it if it is missing.
A successful send grants portal access to the To recipients. Each To address must match a contact saved on this record. CC recipients are not granted access automatically. Sending to a contact whose access was revoked grants access again. See Grant portal access for what that access includes.
Use Personal video below the subject to add an optional Loom, YouTube or Vimeo greeting before sending.
The client can review, view or download a PDF, and accept in the portal. Older proposal emails keep their existing Gateway links.
