Auto‑replies for new enquiries

Auto‑replies let Neptune acknowledge new enquiries for you. When an enquiry arrives, Neptune can send a short Email and/or SMS using a template you choose.

Setup

1. Email

  • Go to Admin → Email Settings.
  • Turn on “Auto‑reply for new enquiries (Email)”.
  • Select your default Email template.

2. SMS

  • Go to Admin → SMS Settings.
  • Turn on “Auto‑reply for new enquiries (SMS)”.
  • Select your default SMS template.

How it works

  • When a new enquiry is created, Neptune checks your settings and the contact details on the enquiry.
  • If Email is enabled and the enquiry has an email address, Neptune will send the email using your chosen template. The sender shows as your organisation name with a Neptune no‑reply address.
  • If SMS is enabled and the enquiry has a phone number, Neptune sends your chosen template via SMS.
  • We don’t store these auto‑replies as Emails or Comments. The enquiry is simply marked as sent.

Tips

  • Create and edit templates under Templates → Email and Templates → SMS.
  • The template selector is disabled until you turn the toggle on.

Troubleshooting

  • Can’t select a template? Turn the toggle on first.
  • No email sent? Check the enquiry has an email address and a template is selected.
  • No SMS sent? Check the enquiry has a phone number and a template is selected.

That’s it — once enabled, new enquiries receive a timely acknowledgement so your team can follow up when ready.
