Contract Payment Options
Neptune CRM Location: Admin -> Contract Settings -> Payment Options
Contract Payment Options let admins set reusable payment instructions for customer contract payment PDFs. This is useful for bank transfer details, payment references, credit card instructions, and any standard payment notes your team wants customers to receive.
The payment tab is always visible to Neptune users on a contract summary. If payment options are not turned on yet, Neptune shows a short explanation and a link to the settings page. Customers only receive the payment options in the payment PDF when you have enabled them.
Before you start
You can use the following values in the content by inserting tokens into the editor. This ensures you only have one source of truth for each value so you only have to update them in one place.
- organisation name
- bank account name
- bank name
- BSB
- account number
- phone number
Turn on payment options
- Go to Admin.
- Open Contract Settings.
- Select the Payment Options tab.
- Turn on Show payment options to customers.
- Write or edit the payment instructions.
- Click Save.
Once enabled, the payment options are included in the customer-facing contract payment PDF.
Write payment instructions
Use the content editor to write the payment text your customers should receive.
You can include:
- headings
- paragraphs
- bold, italic, and underlined text
- bullet lists
- links
- tokens for values that Neptune fills in automatically
The editor has a Token menu. Use it to insert placeholders with a click. You do not need to copy and paste token names.
Common tokens include:
- contract ID
- proposal ID
- organisation name
- bank account name
- bank name
- BSB
- account number
- deposit total
- credit card merchant fee
- deposit total with the credit card merchant fee included
Tokens are replaced with the correct details when the contract payment PDF is generated.
Set a credit card merchant fee
If your payment instructions mention a credit card merchant fee, enter the fee percentage in Credit card merchant fee.
For example, if your content says that credit card payments include a merchant fee, Neptune can fill in:
- the merchant fee percentage
- the fee amount
- the deposit total including the fee
If you use merchant fee tokens in the content, the fee percentage must be filled in before you can save.
Preview the content
Use the Preview tab to check how the payment text will look with your organisation details filled in.
The preview uses sample contract values for contract ID, proposal ID, and totals. Real customer contracts use the actual contract values.
What customers see
Customers see a payment step when reviewing their contract. The payment breakdown shows the contract total and deposit.
Payment options are shown in the generated payment PDF when the feature is enabled. They are not shown as editable text in the contract summary screen.
Tips
- Keep instructions short and specific.
- Use tokens for values that may change.
- Preview before saving if you have added or changed tokens.
- If your bank details change, update your organisation details and review the saved payment instructions.
