Reminders help your team keep track of follow-ups. A reminder can stand alone or link to a customer or lead. Each one has an assignee and due date; you can also add a specific time.

Use a Planner task instead when the work needs a start and end time, several assignees, forms, or job scheduling.

Some organisations are still using the previous reminders view. If your Reminders page has List and Calendar tabs rather than Add reminder, follow the previous reminders instructions below.


Create a reminder

  1. Open Reminders and click Add reminder. You can also start from a customer or lead page.
  2. Enter what needs to be done and, optionally, more details.
  3. Choose the person responsible and a due date. Turn on Add a time if the reminder must be due at a particular time.
  4. Optionally link a customer or lead. Use Notify others if colleagues should receive an FYI about the new reminder.
  5. Click Create reminder.

The reminder appears in the assignee’s list. The assignee is notified when someone else assigns it to them. Colleagues selected under Notify others receive a separate FYI notification; they do not become assignees.

If you set a time, Neptune also notifies the assignee when the reminder is due. Reminders without a time do not send a due-time notification.

Find and manage reminders

The Assigned to me tab shows your reminders. Use Created by me to find reminders you made for someone else. People who manage team reminders can use Team and filter by assignee.

Search by the beginning of a title, filter by status or due date, and group reminders by due date or assignee. Use the page controls to see more results. A linked customer or lead opens from the reminder row.

Click a reminder title to edit it if you have permission. Use the actions menu to complete, cancel, reopen, or view its history. You can also use the circle beside an open reminder to complete it. Undo is available briefly after a status change.

Review previous reminders

When your organisation starts using the new workspace, existing open reminders are not moved automatically. If you have any assigned to you, a notice on the Reminders page offers Review and migrate. You can return to the review later. Team managers can review previous reminders for colleagues, including unavailable staff.

For each previous reminder:

  • Keep moves it into the new list with its existing due date and no specific time.
  • Open the dropdown beside Keep and choose Edit and keep to correct its details before moving it.
  • Retire removes it from open reminders when the work is no longer needed. Its original comment and history remain available.

You can select a page of reminders to keep or retire together. If an item cannot be moved, it remains for you to correct or retry.

To inspect the old list or calendar while you still have reminders to migrate, click View legacy reminders on the new workspace. Use Back to reminder workspace to return. The old view remains available during this transition.

Notification preferences

In your user profile, open Notifications to choose whether New Reminders and Reminder Due notifications appear in-app or arrive by email. If your account is connected to the mobile app, you can also choose mobile notifications there. Your choices for new and due reminders are separate.

Previous reminders view

If your organisation has not moved to the new workspace yet, reminders are created from customer or lead comments:

  1. Open the customer or lead and select Comments.
  2. Enter the follow-up in Add a comment, then expand Reminder details.
  3. Choose a Due date and an Assigned to colleague. You can also select colleagues under Notify others.
  4. Click Save comment.

A comment without a due date is a normal comment, not a reminder. Open Reminders to see active reminders in List or Calendar view. Use Reminders for and the date filters to find work. Open the related record’s Comments tab to mark a reminder as complete, or close it from the Reminders page. Previous reminders cannot be edited in place; close the old one and create a corrected reminder if needed.

Create reminders automatically with sequences

A sequence can create a reminder after a planned delay. Assign the reminder step to the lead or customer owner, or to a specific user. See Sequences for setup instructions.
