Customer Associations

Some customers don’t just work with individual homeowners – they work with Associations like HOAs or body corporates. NeptuneCRM now lets you model these relationships directly, allowing you to link individual customers to Associations and manage them effectively.


What is an Association in NeptuneCRM?

In NeptuneCRM, an Association is a special kind of customer record that represents an entity like:

  • Homeowners Association (HOA)
  • Body Corporate / Strata
  • Property management company

Individual homeowners remain their own Customer records, but can be linked to an Association. This allows you to see both the individual customer and their governing Association when working with them.


Creating an Association

To create a new Association:

  1. Navigate to the Customers page
  2. Click New customer or edit an existing customer
  3. In the Customer type field, select Association
  4. Fill in the Association’s details (name, address, etc.)
  5. Click Save

The new record will now behave like a normal customer, but will also be treated as an Association with special features like the Members tab.


Linking an individual customer to an Association

To link an individual customer to an Association:

  1. Open the individual customer you want to link
  2. Click Edit
  3. Make sure Customer type is set to Individual
  4. In the Association field, choose the relevant Association from the dropdown
    • Start typing to search by name
  5. Click Save

From now on, that customer is treated as a member of the selected Association, and you’ll see the Association relationship displayed on their customer page and on any jobs created for them.


Viewing members of an Association

When you open a customer that is an Association:

  1. You’ll see a Members tab alongside other tabs like Comments, SMS, Jobs, etc.
  2. Click the Members tab to see a list of all linked customers

The Members tab displays:

  • Name - Clickable link to the individual customer page
  • Suburb - The customer’s suburb location
  • Status - The customer’s current status

This gives you a quick overview of everyone belonging to that Association, making it easy to see all related customers at a glance.


Seeing the Association from an individual customer

When a customer is linked to an Association:

  • On the customer page, under the main customer card, you’ll see an Association field
  • Click the Association name to open the Association’s customer record

This makes it easy to move between a homeowner and the overall Association they belong to, allowing you to quickly navigate between related records.


Associations on Jobs

When a job is created for an individual customer who belongs to an Association:

  • The Job details section shows:
    • Customer name – Linked to the individual customer
    • Association – Linked to the Association customer (if set)

This helps your team immediately see both the homeowner and the governing Association when working on a job, providing important context about the relationship structure.


When to use Associations

Use Associations when you:

  • Need to manage many properties under a single HOA or body corporate
  • Want to see both:
    • All customers within an Association, and
    • Which Association a particular customer or job belongs to
  • Work with property management companies that oversee multiple properties
  • Need to track relationships between individual homeowners and their governing bodies

You can still use all existing NeptuneCRM features (comments, uploads, emails, jobs, etc.) on both individual customers and Associations, giving you full flexibility in how you manage these relationships.
