Contract templates hold the standard wording Neptune uses when it builds customer contracts. They help your organisation keep cover text, conditions, warranty information, exclusions, and other recurring contract content consistent.
If contracts are enabled for your organisation and you have access to contract templates, open Templates → Contract.
Before you edit
- Confirm the wording with the person responsible for your organisation’s contracts.
- Decide whether the change should apply to future contracts or only to one contract. The template is shared across the organisation.
- Copy important wording into a review document if another person must approve it before it goes live.
Template sections
The page contains expandable sections for:
- Cover page
- Pre contract summary
- Pool details
- Items not included in the contract
- Excavation & disposal of soil
- Rates for items not included in the contract price
- Period of warranties
- Reasons for price variations
- Customer checklist (must be single ordered list)
- Standard Conditions
- Approvals Document
- Special Conditions
The page may also show a section marked as deprecated. Avoid adding new wording there because it is scheduled to be removed from contracts.
Edit a template
- Open Templates → Contract.
- Expand the section you want to change.
- Edit the wording.
- Use the available formatting controls for headings, bold or italic text, lists, tables, and indentation.
- Stop typing and wait for the update status to confirm the change has saved.
- Open the section again and check the saved content before leaving the page.
Changes save automatically after a short pause. There is no separate Save button on this page.
How templates are used
When a staff member creates a contract, Neptune loads the organisation’s current template wording into the contract and its documents.
- Special Conditions are loaded into the contract form so the staff member can adjust them for that contract.
- Other sections are used when Neptune presents or generates the contract.
- Standard Conditions can be included or excluded when the contract is created.
- Document type business details and category assignments are managed separately under Contract Document Types.
Current and earlier contract flows both use the organisation’s contract wording where their documents support that section. Their page layouts can differ, so review the generated contract in the flow your team uses.
Review a template change
After editing a template:
- Create or open an appropriate test proposal.
- Start Create Contract.
- Check that the expected wording appears in the contract form or summary.
- Review the generated PDF and Preview in Gateway before sending a real contract.
Template content can include customer, proposal, contract, organisation, and product information filled by Neptune. Preserve existing placeholders unless you have confirmed what they produce.
Common issues and limits
- My change did not save: Wait for the update status after you stop typing. If an error appears, keep a copy of your wording and try again.
- A saved change is missing from an open page: Refresh the contract page or reopen the contract creation form.
- An existing contract did not change: Template edits are intended for contracts created or rendered with the updated wording. They do not change saved customer-specific choices such as property details or edited special conditions.
- Formatting looks different in the PDF: Use the supported editor controls and review the generated PDF. Complex pasted formatting may not carry across cleanly.
- The customer checklist is broken: Keep Customer checklist (must be single ordered list) as one ordered list.
- A separate agreement has the wrong business details: Update its Contract Document Type, not the general contract template.
- Someone cannot open Contract templates: Confirm that contracts are available for the organisation and that the person’s role can access Templates → Contract.
