Import Customers
The import customers feature allows you to bulk import multiple customer records into NeptuneCRM using an Excel spreadsheet template. This is particularly useful when you’re first setting up your CRM or migrating from another system.
Getting started with customer import
To import customers, navigate to the Customers page and click the Import button. This will open the import modal where you can download the Excel template and begin the import process.
Step 1: Download the template
Click the Download Template button to download the Excel template to your computer. This template contains all the required columns for importing your customer data.
The template includes the following columns:
- Name (required) - The customer’s business or full name
- Contact name - The primary contact person’s name
- Contact email - The contact’s email address
- Contact mobile phone - The contact’s phone number
- Address - The customer’s street address
- Suburb - The customer’s suburb/city
- Source - How the customer found your business (e.g., “Website”, “Referral”)
- Notes - Any additional notes about the customer
- Internal ref - Your internal reference number or ID
Step 2: Fill in your customer data
Open the downloaded Excel file and add your customer information. Make sure to:
- Fill in the Name field for each customer (this is required)
- Include as much contact information as possible for better customer management
- Save your changes to the Excel file before proceeding
Step 3: Import your customers
Once your Excel file is ready:
- Click the Import button in the modal
- Select your completed Excel file
- The import wizard will guide you through mapping your columns to the correct fields
- Review your data to ensure everything looks correct
- Complete the import process
The system will validate your data and import all valid customer records into NeptuneCRM.
Tips for successful imports
- Ensure all customers have a name (this is the only required field)
- Double-check phone numbers and email addresses for accuracy
- Use consistent formatting throughout your spreadsheet
- If an import fails, check the error messages to identify which rows need correction
Geocoding addresses after import
After importing your customers, you may want to geocode their addresses. Geocoding converts street addresses into precise coordinates and standardized location data, which enables better mapping and location-based features in NeptuneCRM.
What is geocoding?
Geocoding takes an address like “123 Main Street, Sydney” and converts it into:
- Exact latitude and longitude coordinates for mapping
- A standardized, formatted address
- Verified suburb information
How to geocode imported addresses:
- After completing your import, click the Geocode Addresses button on the Customers page
- A drawer will open showing all customers with addresses that haven’t been geocoded yet
- Click Geocode All to automatically geocode all addresses at once, or click Geocode on individual customer records
- Review each suggested address - the system will show both the original and geocoded address side by side
- If a geocoded address isn’t quite right, you can edit it using the search field to find the correct address
- Once you’re happy with the geocoded address, click Save to update the customer record
