Before you start
AI Email Assist is available according to your organisation’s plan and allowance. The writing tools work with the email editor that supports them. Older email content is not automatically converted.
When available for your account, AI Assist also includes Draft with AI. It opens a panel where you can use selected messages and files to draft an email, then ask for changes in the same conversation. If the action is missing, you can continue writing normally or use the other available AI tools.
AI changes are suggestions. Check recipients, amounts, dates, commitments, and attachments yourself before sending. Applying a suggestion does not send an email.
Improve an existing draft
- Open the email composer and write your draft.
- Select AI Assist in the editor toolbar.
- Choose Fix spelling & grammar, Tone: Professional, Tone: Casual, Tone: Friendly, or Expand notes to email.
- Review the revised text before continuing.
Use Undo last AI change when available to restore the previous content. To generate a subject from the message, select the AI button beside Subject after adding some email content.
These tools work on your draft. They are different from selecting record history and files for the context assistant.
Draft with selected context
When the context assistant is available:
- Select AI Assist in the email editor, then Draft with AI.
- In the assistant panel, select Add source. A window opens with filters for Email, SMS, Older SMS, Notes, Sales docs, and Uploads.
- Select the relevant messages or files, then select Done. Load older messages if needed. Selected sources appear in the panel; remove a source using its close button.
- Select notes only when they are relevant. Selecting a note allows the assistant to use it, and it stays selected for further requests until you remove it. Check the proposed email for internal information that should not be sent.
- Enter your request under What should this email say?, then select Create draft. The request box stays at the bottom of the panel while the conversation scrolls above it.
- If the assistant asks a question, answer it using Ask assistant.
- Read the suggested subject, message, Sources used, and any Source check warnings.
- Select Apply to email when you want the suggestion to replace the editor draft.
- To refine it, enter another request under Ask for a change and select Ask assistant. Review and apply the next suggestion.
- Recheck the actual email and send through the usual composer controls.
Use the writing actions in the AI Assist menu to revise text already in the editor. Selecting a file as a source does not attach it to the outgoing email; manage attachments in the composer separately.
The assistant drafts the message without a signature or closing sign-off. Check the configured sender signature in the email preview.
Undo or make further edits
Use Undo applied draft when it is available. If you edit the email while the assistant is working, Neptune prevents applying the outdated suggestion. Ask again so the next suggestion includes your latest changes.
Common issues and limitations
The allowance has been reached: Neptune shows a limit message and, when available, the reset time. Check your subscription or continue writing without AI.
A selected source cannot be read: remove or replace the unavailable source and retry. Supported uploaded source formats include PDF, Word documents, JPEG, and PNG; unsupported types are marked in the source picker.
The assistant is not available for this email: select a supported email template or create a new supported draft. Neptune does not convert existing older email content just to enable the assistant.
The draft contains an unsupported claim: edit or remove it before sending. A source reference does not establish that a promise, price, or date is correct.
