Mobile App

Use Neptune on mobile for tasks, jobs, customers, SMS, files, and field uploads

On this page

The Neptune mobile app is designed for daily field work. It provides assigned tasks and jobs, record communication, files, photos, and notifications. An active Neptune user account is required.

  1. Enter the email address linked to your active Neptune account.
  2. Tap Email me a sign-in code.
  3. Open the email and enter its six-digit code. You can also tap I already have a code when a code has already been sent.
  4. If the code is invalid or expired, request another code and use the newest email.

Codes expire after 10 minutes and can be used once.

The Use your password instead option is a temporary fallback while email-code sign-in rolls out. It uses your existing Neptune email and password.

Understand the tabs

  • Tasks lists work by date. Use the arrows, date picker, or a left or right swipe to change day. Users with wider team access can filter between Mine and All.
  • Jobs lists active jobs assigned to you through current or upcoming tasks or your role as Job Manager. Admins, super users, and coordinators can also select All to see every active job in their organisation, including jobs without tasks.
  • Customers lets admins, coordinators, and consultants search and open customer records. Contractors do not see this tab.
  • Chats contains team conversations.
  • Files contains organisation files and can be filtered by category.
  • Profile contains your colour, notification choices, and Logout.

Find and refresh jobs

Open Jobs to see your assigned jobs. Mine includes jobs with your current or upcoming tasks and jobs where you are the Job Manager. Each job appears once when both apply. Contractors who are not the Job Manager need an assigned current or upcoming task for the job to appear.

Admins, super users, and coordinators can tap the filter icon and choose All. This shows all active jobs in the organisation, whether or not they have tasks or a Job Manager. Contractors cannot select All.

Both lists exclude jobs in Draft, Cancelled, or Completed. Other job stages are treated as active. All loads jobs in pages as you scroll. You can also tap Load more at the bottom; if loading fails, tap Try again.

To refresh Jobs or Tasks, scroll to the top of the list, pull down, then release. Refresh keeps your selected filter and, on Tasks, your selected date. You can also pull to refresh an empty list.

See Jobs for creating jobs, assigning a Job Manager, and scheduling tasks.

Start and complete tasks

Open a task to see its record, schedule, description, and current status.

  1. Open a confirmed task assigned to you.
  2. Tap Start Task.
  3. Complete the start form first when the task requires one. Otherwise confirm that you are ready to start.
  4. When the task is current, tap Mark as Complete.
  5. Complete the end form first when the task requires one. Otherwise confirm completion.

The app requests your current location before it changes a task’s status. Location permission is therefore required to start or complete tasks. If permission is denied, enable location for Neptune in the device settings and try again.

Work from a job card

A job card shows the job ID, job name, build address, customer, and contacts. Tap the build address to open it in the device’s maps app. Use Notes, SMS, Tasks, and Uploads for the selected job.

The Contract option appears only when the job is linked to a contract and you have access. Contractors can open it when they are the job manager. The same rule applies to uploads marked Restricted: other web roles can view them, while a contractor must be the job manager. Other job uploads remain available to people with access to the job.

Send an SMS

  1. Open a customer, lead, or job and select SMS.
  2. Choose a contact with a mobile number. The primary contact is selected first when available.
  3. Type a message or select an SMS template.
  4. Resolve any unfinished template fields or message-length warning.
  5. Tap Send SMS.

The conversation stays with the record. On a job, the message is also linked to that job. SMS availability depends on the organisation’s country and messaging setup.

Take or import a photo

  1. Open a customer, lead, or job card.
  2. Tap Take Photo or Import Photo.
  3. Allow camera or photo access if the device asks.
  4. Enter a label. If upload categories are configured, choose a Category; Neptune preselects the organisation’s default upload category when one is set.
  5. Optionally add a comment. The comment also appears under Comments on the record.
  6. Tap Save.

Use Uploads to browse saved files, filter by category, and open an item. Job uploads show a Restricted badge when their access is limited.

Troubleshooting permissions and notifications

  • If you cannot start or complete a task, enable location access for Neptune in the device settings.
  • If the camera does not open, enable camera access. To import an existing image, also allow photo-library access.
  • If push notifications do not arrive, enable notifications for Neptune in the device settings, then reopen the app. The Mobile notification column becomes available on the web after the app registers the device.
  • If a code does not arrive, check that the email matches an active account, inspect spam or junk mail, then request another code. Too many requests may require a short wait.
  • If a record or contract is missing, check your assignment and role with an administrator.

See Profile and notifications for notification choices on web and mobile.
