Built by a Pool Builder, for Pool Builders

The founder story behind Neptune, and why pool builders finally have a platform that gets it.

Most software you'll find for pool builders wasn't built by anyone who's ever poured concrete, hand-laid fibreglass, or chased a sub for the third time in a week.

Neptune was.

Our founder, Corey, spent more than 20 years running a pool construction business. He knows what it's like to lose a quote because he didn't get back to a lead fast enough. He knows the chaos of manila folders, whiteboards, and the dread that comes with realising your margin disappeared somewhere between the deposit and the final invoice. He knows the feeling of trying to coordinate three trades, a council inspection, and a customer who's wondering why their pool isn't finished yet.

And like most pool builders, he tried the generic CRMs. The ones built for real estate agents, retail businesses, or service companies. Some of them were good at what they were designed for. None of them were designed for pool builders.

So he built one.

Why 'generic' doesn't work for pool builders

Pool building is its own beast. The sales cycle is long. The product is high-value. The build involves multiple trades, council approvals, supplier coordination, customer expectations and weather delays. Margins are sensitive, referrals matter, and every project moves through a dozen distinct stages between enquiry and handover.

Generic CRMs handle leads and contacts. They don't handle the way a pool gets built. They don't track which subbie is on which job. They don't connect the proposal to the contract to the construction schedule. They don't speak the language.

Pool builders end up bolting together five different tools, none of which talk to each other. A CRM for leads. A spreadsheet for proposals. A WhatsApp group for subbies. A calendar app for scheduling. A separate inbox for customer updates. Information lives everywhere and nowhere.

Neptune was built to fix that.

Built around how pool builders actually work

Every feature in Neptune solves a problem Corey faced on the tools.

The lead capture is built around how pool enquiries actually come in. The proposal builder reflects the way pool quotes are structured, with options, upgrades and finance packages. Every stage flows into the next, as we cover in From Lead to Handover. The scheduling module is built around trade coordination, not generic project management. The customer portal is built around what homeowners actually want to know during a build.

It's a platform built from the inside out, not the outside in.

The result

Pool builders using Neptune are reclaiming hours every week. They're getting back to leads faster, building proposals in minutes instead of hours (covered in 45 Minutes Down to 5), and keeping their teams on the same page from enquiry through to handover. The Leisure Pools Sydney case study shows what this looks like at scale, a team running 300+ pools a year, eight years on the platform.

More importantly, they're getting their evenings and weekends back. Because the system is doing the admin, the follow-ups and the chasing, the builder can get back to what they actually do best, building pools and growing their business.

That's why Neptune exists. Built by a pool builder, for pool builders. It's not just a tagline. It's the reason every feature works the way it does.
